Property Management Software for New Jersey Landlords (2026)

New Jersey is one of the most tightly regulated states to be a landlord in. That changes what you need from software: a tool that is perfectly fine in Texas can walk you into a screening violation or a security deposit problem here. This guide covers the New Jersey rules that matter when choosing and setting up property management software.

This is general information, not legal advice. Rules change and some vary by municipality; confirm your obligations with a New Jersey attorney.

The short version

  • Hold security deposits at a New Jersey bank, not automatically in a software platform’s built-in account.
  • Do not run criminal background checks at the application stage. Make sure your screening tool lets you separate them.
  • Use software that can track documents and dates: lead-safe certificates, flood disclosures, deposit notices and annual interest.

Security deposits: the rule most software gets wrong for NJ

New Jersey caps deposits at one and a half months’ rent, and the money has to sit in an interest-bearing account. Landlords with fewer than 10 units can use an interest-bearing account at an FDIC-insured institution in New Jersey; those with 10 or more units face stricter investment rules. Within 30 days you must tell the tenant the bank’s name and address, the account type, the interest rate and the amount, and you must pay or credit the interest each year. The deposit is generally due back within 30 days after the tenancy ends.

Why it matters for software: several landlord platforms now offer their own bank accounts, often through a partner bank outside New Jersey. Those can be great for operating money, but do not assume they satisfy New Jersey’s deposit rule. Keep deposits at a New Jersey institution and use your software to track each deposit, the 30-day notice and the annual interest.

Tenant screening: the Fair Chance in Housing Act

Since 2022, New Jersey landlords generally may not ask about criminal history on a rental application or run a criminal background check until they have approved the rest of the application and made a conditional offer. There are narrow exceptions, lookback limits after the offer, a duty to let the applicant respond, and fines for violations. If you charge an application fee, you must first tell the applicant in writing whether you will check criminal history.

Why it matters for software: many screening tools bundle credit, eviction and criminal checks into one report ordered at the application. In New Jersey, look for a tool that lets you order credit and eviction history first and criminal history only after a conditional offer, and make sure your online application form has no criminal-history questions.

Disclosures and documents to track

  • Truth in Renting statement: provided to tenants at the start of the lease (owner-occupied buildings with three or fewer units are exempt).
  • Lead-safe certification: most rentals built before 1978 need a lead inspection and a Lead-Safe or Lead-Free certificate, repeated every 3 years or at tenant turnover, whichever comes first.
  • Flood risk notice: since 2024, a written flood-zone disclosure is required before the lease is signed.
  • Landlord registration: rentals must be registered with the municipality or, for larger buildings, the state; many towns also require a rental certificate of occupancy at turnover.
  • Local rent control: many New Jersey municipalities have their own rent control ordinances limiting increases.

Why it matters for software: pick a platform with per-property document storage and reminders, so certificates, notices and renewal dates do not live in your inbox.

Frequently asked questions

Can I keep a New Jersey security deposit in my property management software’s bank account?

Be careful. New Jersey requires deposits to be held in an interest-bearing account, and for landlords with fewer than 10 units that means an FDIC-insured institution in New Jersey. Many software accounts use partner banks outside the state, so keep deposits at a New Jersey bank unless an attorney confirms otherwise.

Can New Jersey landlords run criminal background checks on applicants?

Generally only after approving the rest of the application and making a conditional offer, under the Fair Chance in Housing Act, with limited exceptions and lookback limits.

How much can a New Jersey landlord charge for a security deposit?

No more than one and a half months’ rent.

How often do New Jersey rentals need a lead inspection?

Most rentals built before 1978 need a lead-safe inspection, repeated every 3 years or at tenant turnover, whichever comes first.
