Find Your Fit — 50+ units
Property Management Software for Companies Managing 50+ Units
At this size, your software is infrastructure. It holds owner money, drives your reporting, and shapes how many units each staff member can handle. Switching later means migrating years of ledgers, so the cost of getting it wrong is measured in months, not dollars.
The short version
50 to a few hundred units, managing for outside owners: Buildium. 200+ units and growing as a true management company: AppFolio. 50 to 100 units of mostly your own properties, simple ownership: DoorLoop can still be the cheapest workable option.
What matters at this size
- Trust accounting and owner statements. If you hold other people's money, separate trust accounting and clean monthly owner statements are not optional.
- Reporting you can hand to owners and lenders. Customizable reports, rent rolls and delinquency reports without exporting to spreadsheets.
- Staff permissions and workflows. Multiple users with the right access, and maintenance and leasing workflows that do not depend on one person's inbox.
- Integrations. Banking, screening, accounting exports and maintenance vendors. Fewer manual handoffs means fewer errors.
- Migration support. Ask exactly what the vendor will import for you, and what you will have to rebuild.
Buildium: the safe middle choice
Buildium is built for growing portfolios and third-party management, with strong accounting depth, owner reporting and a large integration set. The trade-off is a steeper learning curve than newer tools. For most companies between roughly 20 and 500 units, it is the default to beat.
AppFolio: for real management companies
AppFolio is designed for management companies at scale, with automation and reporting to match, and it has unit minimums and minimum spend. Below roughly 200 units it is usually more than you need; above that, it is excellent.
DoorLoop: when simplicity still wins
If most of the units are yours and your ownership structure is simple, DoorLoop's lower price and faster setup can still beat the bigger platforms at 50 to 100 units. Watch for the ceiling: advanced reporting and complex multi-entity structures are thinner. Read the full DoorLoop review →
A budget route to trust accounting
If you manage for outside owners but Buildium is more than you want to spend, Rentec Direct's PM edition offers trust accounting and owner portals at a lower price, with a more dated interface.

The verdict
Choose for the portfolio you will have in two years, not the one you have today. Demo at least two platforms with your own real data, including a messy owner statement, before committing. See the three-way comparison for pricing side by side.
