Comparison

DoorLoop vs Buildium vs AppFolio: Which Fits a Small Landlord?

These three get compared constantly, but they are not really competitors at every size. The right answer depends almost entirely on how many units you manage and how complicated your ownership structure is. Here is how to sort yourself in about two minutes.

The short version

1–20 units: DoorLoop. 20–500 units with serious accounting needs: Buildium. 200+ units run as a management company: AppFolio. Going bigger than you need costs real money every month.

The comparison at a glance

Platform Starting price Best for Standout
DoorLoop $69/mo 1–20 units Easiest setup
Buildium $62/mo 20–500 units Accounting depth
AppFolio Quote · 50-unit min. 200+ units Built for scale

Entry-plan prices as of October 2026: DoorLoop Starter billed yearly ($99 month to month, up to 10 units); Buildium Essential, with Growth at $192/month; AppFolio is quote-only with minimum spend. Always confirm current pricing on each provider's site.

DoorLoop: the pick for most small landlords

If you own a handful of rentals or manage up to roughly 20 units, DoorLoop is the one to start with. The case for it is practical: onboarding is guided, the interface does not need a tutorial, and everything a small landlord needs is in the entry plan. Buildium's entry plan is now priced similarly, and both charge payment and setup fees, so compare the total cost for your unit count rather than the headline price. You still get rent collection, lease tracking, maintenance requests, tenant screening and owner accounting.

The tradeoff is depth at the top end. Complex multi-entity structures and advanced reporting are thinner than what Buildium and AppFolio offer. If you do not need those, you are not giving anything up. Read the full DoorLoop review for the detailed breakdown.

Buildium: the middle step with the deepest accounting

Buildium makes sense once your portfolio is growing and your accounting needs are real: trust accounting, owner reporting and a larger set of integrations. It is a capable platform for portfolios from roughly 20 up to a few hundred units.

The cost is a steeper learning curve, and the plan most growing portfolios need, Growth, starts at $192 a month. A new landlord with eight units will be paying for depth they will not use for a long time.

AppFolio: built for management companies, not landlords

AppFolio is designed for property management companies running a large number of units, with automation and reporting to match. At that scale it is excellent. Below roughly 200 units, the price and the feature set are mismatched to what a small operator needs.

How to choose in three questions

  1. How many units do you manage today, and in 12 months? Under 20, start with DoorLoop. Between 20 and a few hundred, look at Buildium. 200 and up, AppFolio is on the table.
  2. Do you manage other people's properties, or just your own? Owner statements and trust accounting for outside owners push you toward Buildium or AppFolio.
  3. How much setup time can you afford? If you want to be collecting rent in a day or two, DoorLoop has the easiest path. The other two reward you for time invested.

The verdict

For a self-managing landlord or a small operator, DoorLoop is the sensible default: cheaper, quicker to set up, and complete enough for the job. Move up to Buildium when accounting complexity or portfolio size demands it, and consider AppFolio only once you are running a true management company. Switching later is possible, but migrations are a pain, so pick for where you will be in a year.
