Software for HOAs and Condo Associations
Association management is a different job from renting units. There are no leases to chase. The work is collecting assessments, enforcing rules fairly, keeping the board informed and keeping reserve money separate from operating money. Most landlord software handles that badly.
The short version
Self-managed association run by volunteer board members: look for a dedicated HOA tool with a simple homeowner portal and online dues. Professional manager running several associations: Buildium or AppFolio, both of which offer association-specific features alongside rentals. AppFolio has unit minimums, so it fits management companies, not a single small building.
What an association actually needs
- Assessment and dues collection. Recurring charges, special assessments, late fees, and online or automatic payments for owners.
- Fund accounting. Operating and reserve funds tracked separately, with reports the board and auditor can read.
- Violations tracking. Documented, consistent notices with photos and dated letters. Inconsistent enforcement is where boards get into trouble.
- Architectural review requests. Owners submit modifications online; the board approves or denies with a record.
- Board and owner portals. Governing documents, meeting minutes, financials and announcements in one place, with appropriate permissions.
Buildium and AppFolio for managed associations
If you manage associations professionally, especially alongside rental properties, it is usually better to run everything in one platform. AppFolio's association product covers online dues, violations, architectural requests, board and committee tools, and multi-fund accounting, but it carries a unit minimum and minimum spend. Buildium also supports association management and tends to be the more accessible step for smaller management companies. We do not have hands-on association reviews of either yet, so request demos and ask specifically about reserve-fund reporting and violation workflows.
Why rental-focused tools fall short
Tools built for small landlords, including DoorLoop, Avail and TurboTenant, are organized around leases and tenants. They can be bent to track dues, but they generally lack fund accounting, violation workflows and board governance features. For a single small self-managed building that only needs online dues, that may be acceptable; for anything more, use a tool built for associations.
The verdict
Match the software to who runs the association. Volunteer boards should prioritize ease of use for owners and a clear dues process. Professional managers should prioritize fund accounting and violation records, and lean toward a platform that also handles their rental portfolio.
